Building an itinerary
Work backward from the one hard deadline on the trip (a ceremony start, a flight departure, a venue curfew) and add buffer for loading, traffic and rest stops. Aim to book two to four weeks ahead for most trips, and earlier for peak spring and fall weekends. Before you confirm, verify that every stop can physically receive the vehicle: street width, overhead clearance, and whether a loading zone or permit is required.
Choosing a vehicle class
Match capacity to headcount plus luggage, not headcount alone. As a rule, a motorcoach comfortably handles up to 56 passengers with under-floor bags; groups under 35 often save money in a minibus, and groups under 16 fit a Sprinter. Think about street access too. A full-size coach can't reach every venue driveway or tight city block, so the smallest vehicle that fits your group is usually the right call.
Budgeting a group move
Build your internal budget around hourly minimums, total drive time and mileage, then add tolls, parking, venue permits and driver gratuity. For multi-day trips, include overnight driver lodging. Before paying a deposit, ask any provider for their USDOT number and proof of current insurance, and check the number yourself on the FMCSA website. A legitimate carrier will never hesitate to share it.
